In order to visit us, make purchases, bookings, register and take part in exhibitions, seminars or conferences (“events”), you must provide us with certain personal data. The mandatory personal data is specified on the registration form when you make your booking, registration or purchase. Where do we get your personal data from?

We get your personal data from you, e.g. when you purchase a ticket or when you contact us. In the following cases, we also get your personal data from other parties:

  • If someone else buys a ticket for you or registers you for an event, for instance, we get your personal data from the person who provides your data to us, e.g. your employer.
  • If you use our website or our digital services (e.g. Exhibitor Service Online), your personal data are collected from your device (e.g. your mobile phone, computer or tablet) when you use our website or digital services.

If you make a purchase, a registration/booking, or visit us
Purpose:

  • To manage your purchase, booking or event registration, and to manage your visit to us, e.g. give you access to the event you want to take part in and complete the purchase.
  • To communicate relevant information to you. The information provided to you depends on the purpose of your visit to us. For example, we might need to send you booking confirmation, send you a seminar pass, inform you about updates to our terms and conditions or our privacy policy, or provide you with similar important information.

  • Information from registration/booking/purchase, your first and second name and contact details.
  • Payment information.
  • If you visit Upper House or Gothia Towers, we also need to process information about what country you are from, about your credit card number (to enable us to take payment for any additional expenses or for damage) and your national identity number (for safety reasons in the event of evacuation). This data is deleted after your visit.
  • If another person books your accommodation for you, that person registers this personal data about you.
 Retention time:

Personal data are retained during the time you carry out your purchase, and after that for the purposes stated in the table below, e.g. for accounting purposes.

Information about your payment will be retained for longer in order for us to comply with legislation regarding accounting.

If you have chosen to interact with exhibitors or other parties at an event you take part in, they may subsequently process your personal data as independent data controllers.
Legal basis:

  • If you visit us in a private capacity and book your visit yourself, it is necessary for us to process your data to perform our contract with you (Article 6.1.b of GDPR). However, if another person books your visit, we process your data on the basis of our legitimate interest in being able to administer our contract with the person who booked the visit on your behalf (legitimate interest under Article 6.1.f of GDPR).
  • If you visit us in a professional capacity and your organisation made the booking, processing is necessary on the basis of our legitimate interest in being able to process data about you in order to execute your participation and communicate with you as a contact for your organisation (legitimate interest under Article 6.1.f of GDPR).
To optimise your experience when you visit us

If you are going to visit us
Purpose:

  • To meet any dietary preferences or other requests stated by you in connection with your booking/registration.
  • To enable you to efficiently use parking space you have booked in our car park.
  • If you visit Upper House or Gothia Towers, we also process your personal data to check you in faster and with accurate information.
Personal data:

  • Information from your booking/registration.
  • Other information that you provide to us, e.g. messages you send prior to your stay at Upper House/Gothia Towers or requests you send to us, which may contain information about allergies, medical conditions or other information you choose to provide.
  • Your car registration number, if you have booked space in our car park and want to be granted entry immediately.
  • If you visit Upper House or Gothia Towers, accurate data about you that we obtain from the Swedish state personal address register (SPAR) and use for check-in.
 Retention time:
The data we get from the Swedish state personal address register (SPAR) are only retained during your hotel visit. Other personal data are erased regularly.
Legal basis:

  • If you visit us in a private capacity or communicate your personal preferences to us, processing is necessary in order for us to meet your requirements, i.e. to perform our contract with you (Article 6.1.b of GDPR).
  • If your employer or another person handles your booking/registration, we process your data on the basis of our legitimate interest in being able to administer our contract with the person we are in communication with (legitimate interest under Article 6.1.f of GDPR).
  • If you send sensitive personal information in messages to us, e.g. information about allergies or medical conditions, we process these personal data on the basis of your consent (Article 6.1.a and Article 9.2.a of GDPR).
  • If you stay at Upper House or Gothia Towers, we obtain accurate data from the Swedish state personal address register (SPAR), and the passport number of foreign guests is entered on the booking card on the basis of our legitimate interest in checking you in faster and with accurate information (legitimate interest under Article 6.1.f of GDPR).

 

To comply with legislation regarding accounting

Purpose: To comply with legislation regarding accounting.
Personal data:

  • Your name, contact details and any other information included in accounting material (e.g. contracts, verifications).
  • Historic payments, transactions and other accounting material.
 Retention time:
We retain personal data in accounting material up to and including the seventh year after the end of the calendar year during which the accounting year ended.
Legal basis:
The processing is necessary to comply with the Book-keeping Act, i.e. to comply with a legal obligation (Article 6.1.c of GDPR). We suggest that you avoid unnecessarily including personal data in invoices and other accounting material. If your personal data needs to be included in certain documentation, you must provide us with your data to enable us to fulfil our legal obligations or to meet our interests or the interests of your organisation.
To publish images, videos and audio material from our events (marketing)

If you visit an event
Purpose:

  • To take photographs and videos during our events, which means you may be visible in pictures and videos or be heard in audio recordings during your visit, e.g. in pictures providing a general overview of the event, or of visitors mingling.
    However, we never take pictures that focus on you as a separate individual, unless you have given your prior consent.
  • Subject to your prior consent, use images, videos and audio material to provide information about our activities on our website, in printed material and in social media.
    We will inform you clearly before and during our events if we plan to take any pictures, videos and/or audio recordings. We never want you to be surprised about this happening. Do not hesitate to contact us if you have any questions or concerns about our images, videos and audio recordings

  • The use of overview pictures is necessary to meet our legitimate interest in providing information about our activities and marketing our business (legitimate interest under Article 6.1.f of GDPR). If you take part in a survey, we will process your responses as described below. We do not request personal data for questionnaire surveys carried out on site.

  • To send evaluations following your booking/registration or your visit, in order for us to improve our service and offering. If you take part in a survey, we will process your responses as described below. We do not request personal data for questionnaire surveys carried out on site.

Your email address will remain in our “unsubscribed contacts register” until you ask us to remove your email address from there.

The processing is necessary for us to fulfil our obligations under the Marketing Act, in order to ensure that you do not receive mailings that you have requested not to receive, i.e. to comply with a legal obligation (Article 6.1.c of GDPR). We process the personal data in order to collect and analyse the responses to surveys, so that we can improve our service and offering.

If you use our website or digital services
Purpose:

  • To provide you with optimal service when you use our website and digital services, e.g. to enable you to register for events, log in as a member at our hotels, to remember your choices and settings, and to be able to use live-streamed seminars. In order for these to function, we need to process your personal data on our website and in our digital tools.
  • To maintain security, e.g. manage your password if you log in to Exhibitor Service Online, and identify you quickly and easily by scanning the bar code on your visitor badge, which contains your personal data.
  • If you scan your visitor badge or have chosen to post information about yourself on the digital platforms we offer, your personal data will be shared with exhibitors, sponsors, trade organisations, speakers or other parties participating in the event. You decide if you want to let someone scan your visitor badge, or to post information about yourself and thus provide information to third parties.

We regularly erase our communications with you if you are a customer, a representative of an organisation that is a customer, a supplier or a potential customer. You can delete comments and communications on social media when you want to. We will delete posts and comments that violate the platform’s rules or law.

  • The processing is necessary on the basis of our legitimate interest in being able to communicate with you and respond to your questions, as well as process complaints and defend ourselves or, if relevant, initiate legal proceedings (legitimate interest under Article 6.1.f of GDPR).
  • We are required by law to process your personal data in certain cases, e.g. if you exercise any of your rights under GDPR, or under consumer protection law. This means that certain processing of personal data is necessary to comply with a legal obligation (Article 6.1.c of GDPR). Who gains access to your personal data?

As a general rule, your personal data are only processed by us at the Swedish Exhibition & Congress Centre. However, other companies and organisations that we collaborate with are made privy to your data if this is necessary in order for us to meet our obligations towards you as a visitor.
We share your personal data with IT providers, who only process personal data at our request to provide us with technical assistance, e.g. regarding the system we use to manage bookings/registrations, to scan tickets and for our hotel system. We have contracts in place to regulate how these IT providers are permitted to process your personal data at our instruction.
We also share your personal data as follows:

  • If you take part in an event organised by the Swedish Exhibition & Congress Centre in collaboration with Sweden MEETX AB, your personal data will be shared with Sweden MEETX AB in order for us to be able to organise and market the event.
    Sweden MEETX AB is part of the Swedish Exhibition & Congress Centre Foundation, as is the Swedish Exhibition & Congress Centre Group and Gothia Towers. When we organise events, we work together as joint data controllers for the processing of your personal data. If you have any questions about our processing of personal data, or if you want to exercise your rights, do not hesitate to contact us.
  • If you take part in an event that is jointly owned by the Swedish Exhibition and Congress Centre and another party, your personal data may also be processed by that party, in which case the party will also process your data in order to implement the event. This will be stated on each event’s website.
    For this type of event, we are joint data controllers for the processing of your personal data. If you have any questions about our processing of personal data, or if you want to exercise your rights, do not hesitate to contact us.
  • If you pay by invoice, we will share your personal data with the external party we use for processing invoice payments.
  • If you take part in one of our events, we will share your contact details with an external survey company, who will carry out the surveys according to our instructions. We share your contact details so that you can give feedback about your experiences.
  • If you have consented to it, we share your personal data with the partner involved in organising the event, so that our partner can send you relevant offers and marketing. You will be informed about this at the time when you register.
  • If you are visible in images/videos, or are audible in audio recordings from an event, the images, videos and audio recordings will be shared with exhibitors and partners if you have consented to this. Pictures providing a general overview of an event can be shared with exhibitors and partners without your consent, as well as published on our website, in printed material and in social media.
  • If you visit Upper House or Gothia Towers, we will collect your personal data from the Swedish state personal address register (SPAR), which provides us with accurate and up-to-date data about you. We do this because it is otherwise, in principle, impossible for us to handle so many guests checking in at the same time.
  • If you use a discount code when registering for an event, which you received from an exhibitor or a partner, we will share your contact details, e.g. your postal address, email address and mobile phone number, with the exhibitor or partner that gave you the discount code. We share these details to enable us to settle the payment with the exhibitor/partner.
  • If you receive emails from us, your personal data will be processed by Lime/BizWizard. We use the Lime/BizWizard service to enable us to send you newsletters safely and efficiently. Lime/BizWizard acts as our data processor, and thus only processes your personal data according to our instructions and at our request.

Do we share your personal data outside the EU/EEA?

As a general rule, the Swedish Exhibition and Congress Centre processes your information within the EU/EEA. However, in certain cases we may use providers outside the EU/EEA. We only transfer personal data outside the EU/EEA if we have a legal basis for doing so in accordance with GDPR.

  • When your personal data are transferred outside the EU/EEA to the US, this is done on the basis of an adequacy decision from the European Commission according to Article 4 of GDPR. This means that the EU deems a certain country to provide an adequate level of protection of your personal data. As a result of this, the EU and the US have entered into an agreement called the EU-US Data Privacy Framework.
  • With regard to recipients who are not certified according to the EU-US Data Privacy Framework, we may transfer your personal data outside the EU/EEA based on standardised data protection regulations adopted by the European Commission. We can also transfer your personal data to countries deemed by the European Commission to provide an adequate level of protection of personal data.

We have minimised the information that the external parties gain access to, and have taken several measures to reduce the risk of your personal data being transferred outside the EU/EEA. This is to make it as difficult as possible for parties outside the EU/EEA to interpret your personal data.

  • Right to lodge a complaint – Article 77 of GDPR: You have a right to lodge a complaint with a competent supervisory authority if you believe your personal data has been processed in violation of GDPR. The competent authority in Sweden is the Swedish Authority for Privacy Protection.
  • Right to withdraw consent – Article 7.3 of GDPR:You have the right to withdraw your consent at any time by contacting us.
  • Right of access (”right to a copy of the information held about you”) – Article 15 of GDPR: You have the right to obtain confirmation as to whether or not we are processing your personal data. You can request this by contacting us. If we process your personal data, you also have a right to receive a copy of the personal data we hold about you and information about their processing, e.g the purpose of the processing and how long the data will be retained.
  • Right to object – Article 21 of GDPR: You have the right to object at any time to your personal data being processed for direct marketing (including profiling), and to processing of your data based on a legitimate interest (including profiling).
  • Right to rectification – Article 16 of GDPR:You have the right to have inaccurate personal data about you rectified without undue delay. You also have the right to have incomplete data completed.
  • Right to erasure (”right to be forgotten”) – Article 17 of GDPR: Under certain circumstances, you have the right to have your personal data erased by us without undue delay. This applies, for instance, if you withdraw your consent and there is no other legal basis for processing, or if your personal data are no longer necessary for the purpose they were collected or processed for.
  • Right to restrict processing – – Article 18 of GDPR: Under certain circumstances, you have the right to require that we restrict our processing of your personal data. This applies, for instance, if you contest the accuracy of the personal data, or if your data have been unlawfully processed and you oppose erasure and request restriction instead.
  • Right to data portability – Article 20 of GDPR: If we process your personal data on the basis of your consent or to perform a contract, you have the right to receive a copy of the personal data that regards you. You have a right to receive the data you have provided to us in a structured, commonly used and machine readable format. You also have the right to have these personal data transmitted to another controller, where technically possible.

    Måste du lämna dina personuppgifter till oss?

    För att du ska kunna besöka oss, göra köp, bokningar, anmälningar och delta på mässor, seminarier eller konferenser (”event”) krävs det att du lämnar vissa personuppgifter till oss. Vilka uppgifter som är obligatoriska framgår av registreringsformuläret när du gör din bokning, anmälan eller ditt köp. Om du inte fyller i uppgifterna kommer du inte att kunna genomföra bokningen, anmälan eller köpet etc.

    Varifrån får vi dina personuppgifter?

    Vi får dina personuppgifter från dig, t.ex. när du köper en biljett eller när du kontaktar oss. I följande fall får vi även dina personuppgifter från andra:

    • Om någon annan t.ex. köper din biljett eller anmäler dig till ett event får vi dina personuppgifter från den som lämnar dem till oss, t.ex. din arbetsgivare.
    • Om du använder vår hemsida eller våra digitala tjänster (t.ex. Utställarservice Online) samlas dina personuppgifter in från din enhet (exempelvis mobil, dator eller surfplatta) när du använder vår hemsida/digitala tjänster.
    • Om du besöker Upper House eller Gothia Towers får vi dina personuppgifter från D&B Svenska befolkningsregister (endast för individer över 18 år) som ger oss korrekta uppgifter om dig för incheckningen.
    • Vi kan även komma att köpa dina personuppgifter från offentliga källor för att kunna marknadsföra oss mot dig i din yrkesroll.

    Ändamål:

    • Hantera ditt köp, din bokning eller anmälan till event samt hantera ditt besök hos oss, t.ex. ge dig tillträde till eventet du ska delta på samt genomföra betalning.
    • Kommunicera relevant information till dig. Den information du får beror på vad du gör hos oss, det kan t.ex. vara att skicka bokningsbekräftelse, skicka seminariekort samt informera om uppdaterade villkor, uppdaterad integritetspolicy samt ge dig liknande viktig information.
    Personuppgifter:

    • Information från anmälan/bokningen/köpet, t.ex. ditt för- och efternamn och kontaktuppgifter
    • Betalinformation
    • Om du besöker Upper House eller Gothia Towers måste vi även behandla information om vilket land du kommer från, information om ditt kreditkortsnummer (för att kunna reservera belopp för eventuella utlägg eller skador) samt ditt personnummer (av säkerhetsskäl vid eventuell utrymning) vilket raderas efter vistelsen.
    • Om någon annan bokar din vistelse kommer den personen att registrera dessa personuppgifter om dig.

    Personuppgifter lagras under tiden du genomför köpet samt därefter för de ändamål som anges i tabellerna nedan, t.ex. av bokföringsskäl.

    Information om din betalning kommer att lagras längre för att vi ska följa bokföringslagstiftning. Läs mer om detta nedan.

    Om du har valt att interagera med utställare eller andra parter på ett event du deltar på kan de därefter behandla dina personuppgifter som självständigt personuppgiftsansvariga.
    Rättslig grund:

    • Om du besöker oss som privatperson och bokar ditt besök själv är behandlingen nödvändig för att fullgöra vårt avtal med dig (artikel 6.1.b i GDPR). Om det däremot är någon annan som bokar ditt besök behandlar vi dina personuppgifter med stöd av vårt berättigade intresse att kunna administrera vårt avtal med den person som bokade din vistelse åt dig (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR).
    • Om du besöker oss i din yrkesroll och din organisation har gjort bokningen är behandlingen nödvändig av vårt berättigade intresse att kunna behandla uppgifter om dig för att genomföra ditt deltagande och kommunicera med dig som kontaktperson för din organisation (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR).

    • För att tillgodose dina eventuella kostpreferenser eller andra önskemål som du uppger vid din bokning/anmälan.
    • Möjliggöra för dig som bokat plats i vårt parkeringshus att använda det på ett smidigt sätt.
    • Om du besöker Upper House eller Gothia Towers behandlar vi även dina personuppgifter för att checka in dig snabbare och med korrekta uppgifter.
    Personuppgifter:

    • Information från bokningen/anmälan
    • Annan information du lämnar till oss, t.ex. meddelanden du lämnar inför din vistelse på Upper House/Gothia Towers eller önskemål du meddelar oss, vilket kan innehålla uppgifter om allergier, hälsotillstånd eller liknande om du väljer att lämna det.
    • Registreringsnumret på din bil, om du har bokat plats i parkeringshuset och vill bli insläppt direkt.
    • Om du besöker Upper House eller Gothia Towers, korrekt information om dig som vi får från SPAR Sveriges befolkningsregister och använder för incheckningen.
    		Lagringstid:
    Informationen vi får från SPAR Sveriges befolkningsregister lagras bara under ditt hotellbesök. Övriga personuppgifter gallras regelbundet.
    Rättslig grund:

    • Om du besöker oss som privatperson eller kommunicerar dina personliga önskemål till oss är behandlingen nödvändig för att vi ska kunna tillgodose dina önskemål, alltså för att kunna fullgöra vårt avtal med dig (artikel 6.1.b i GDPR).
    • Om din arbetsgivare eller någon annan hanterar din bokning/anmälan behandlar vi dina personuppgifter med stöd av vårt berättigade intresse för att kunna administrera vårt avtal med den person som vi har kommunikationen med (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR).
    • Om du skickar känsliga personuppgifter i meddelanden till oss, t.ex. information om allergier, hälsotillstånd eller liknande behandlar vi dessa personuppgifter baserat på ditt samtycke (artikel 6.1.a och artikel 9.2.a i GDPR).
    • Om du bor på Upper House eller Gothia Towers hämtar vi korrekt information från SPAR Sveriges befolikningsregister och för utländska gäster skrivs passnummer in på bokningskortet eftersom det är nödvändigt av vårt berättigade intresse att checka in dig snabbare och med korrekta uppgifter (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR).

    Personuppgifter:

    • Ditt namn, kontaktuppgifter och andra eventuella uppgifter som förekommer i bokföringsmaterial (t.ex. avtal, verifikationer)
    • Betalningshistorik, transaktioner och övrigt material som utgör bokföringsmaterial
    		 Lagringstid:
    Vi sparar personuppgifter i bokföringsmaterialet fram till och med det sjunde året efter utgången av det kalenderår där räkenskapsåret avslutades
    Rättslig grund:
    Behandlingen är nödvändig för att följa bokföringslagen, alltså för att fullgöra en rättslig förpliktelse (artikel 6.1.c i GDPR). Undvik gärna att inkludera personuppgifter i onödan på fakturor och annat bokföringsmaterial. I de fall dina uppgifter behöver finnas i viss dokumentation behöver du lämna personuppgifterna till oss för att vi ska kunna följa våra skyldigheter enligt lag eller tillgodose våra eller din organisations intressen.

     

    För att publicera bild- och ljudmaterial från våra event (marknadsföring)

    Om du besöker ett event
    Ändamål:

    • Fotografera och filma under våra event, vilket innebär att du kan synas på bild och film eller höras på ljudinspelning under ditt besök, t.ex. på bilder som översiktligt avbildar personer eller mingelbilder. Vi tar dock aldrig bilder med fokus på dig som enskild individ, om inte du gett ditt samtycke
    • Efter samtycke, använda bild- och ljudmaterial för att informera om vår verksamhet på hemsidan, i tryckta produkter och i sociala medier
    Personuppgifter:
    Bilder, filmer och ljudinspelningar där du som deltagare kan förekomma.     		Lagringstid:
    Materialet raderas om du begär att bli borttagen, återkallar ditt samtycke eller annars invänder mot behandlingen. Om du har samtyckt till bild, video- eller en ljudupptagning används sådant material som längst i fem år.

    • Användningen av översiktsbilder är nödvändig av vårt berättigade intresse att kunna informera om vår verksamhet och marknadsföra vår verksamhet (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR). Tveka inte att kontakta oss om du vill att vi tar bort bild- eller ljudmaterial där du förekommer
    • Bilder med fokus på dig eller video- och ljudupptagning behandlas med stöd av ditt samtycke (artikel 6.1.a i GDPR). Även i andra sammanhang kan vi välja att inhämta ditt samtycke enligt GDPR, när vi bedömer att det är lämpligt beroende på sammanhanget

    • Skicka nyhetsbrev och anpassad marknadsföring om intressanta erbjudanden i relation till eventet du deltar på, information om liknande event samt annat som vi bedömer är intressant för dig
    • Skicka utvärderingar efter ditt köp, din bokning/anmälan eller ditt besök för att kunna förbättra vår service och vårt erbjudande. Om du deltar i en undersökning behandlar vi dina svar som vi beskriver nedan. I de fall enkäter görs på plats efterfrågas inte personuppgifter

    Vi analyserar hur du öppnar och använder våra nyhetsbrev så som vi beskriver nedan.

    Du får våra utskick fram tills nästa liknande event. Det innebär att du får utskick i två till fyra år efter eventet, beroende på när nästa liknande event hålls. Därefter får du ett mail med möjlighet att samtycka till fortsatta utskick.

    Du kan när som helst avregistrera dig från våra utskick eller invända mot marknadsföringen, i så fall sparar vi dina personuppgifter så som vi beskriver i tabellen nedanför.

    Om vi hämtar dina kontaktuppgifter från allmänt tillgängliga källor
    Ändamål:

    • Kontakta dig per mail och telefon för att informera om våra event som bedöms vara relevanta för dig utifrån din yrkesroll, t.ex. för att ditt företag tillhör en relevant utställarkategori till våra event eller för att bjuda in dig till relevanta seminarier baserat på din yrkesroll
    • Skicka utvärderingar efter din bokning/anmälan eller ditt besök för att kunna förbättra vår service och vårt erbjudande. Om du deltar i en undersökning behandlar vi dina svar som vi beskriver nedan. I de fall enkäter görs på plats efterfrågas inte personuppgifter

    Vi analyserar hur du öppnar och använder våra nyhetsbrev så som vi beskriver nedan.

    Syftet är aldrig att se hur du som individ har agerat utan att på övergripande nivå få beslutsunderlag.

    Ändamål:
    Vi lagrar din mailadress och ditt telefonnummer i ett ”avregistreringsregister” för att säkerställa att vi inte marknadsför oss mot dig. Detta är inga personuppgifter vi aktivt behandlar. Vi tittar alltså inte på dina uppgifter och använder dem inte till någonting förutom att säkerställa att du inte får marknadsföring från oss.

    • Information om att du inte längre vill ha våra utskick
    • Tidpunkt för avregistrering
    		 Lagringstid:
    Din mailadress kommer att finnas i vårt ”avregistreringsregister” tills du ber oss plocka bort din mailadress därifrån.

    Behandlingen är nödvändig för att fullgöra vår skyldighet enligt marknadsföringslagen att säkerställa att du inte får utskick som du bett om att inte få, alltså för att fullgöra en rättslig förpliktelse (artikel 6.1.c i GDPR).     Ändamål:

    • Ge dig bästa möjliga service hos oss genom att använda vår hemsida och digitala tjänster, t.ex. för att du ska kunna anmäla dig till event, logga in som medlem på våra hotell, för att minnas dina val och inställningar samt för att vi ska kunna livesända seminarier. För att dessa ska fungera krävs att vi hanterar dina personuppgifter på hemsidan och i våra digitala verktyg.
    • Upprätthålla säkerhet, t.ex. hantera ditt lösenord om du loggar in i Utställarservice Online och identifiera dig snabbt och enkelt genom att scanna streckkoden på din besökar-badge som innehåller dina personuppgifter.
    • Om du scannar din besökar-badge eller om du har valt att posta information om dig själv på de digitala plattformar vi erbjuder delas dina personuppgifter med utställare, sponsorer, branschorganisationer, föreläsare eller andra parter som deltar på eventet. Du avgör själv om du vill låta någon scanna din besökar-badge eller posta information om dig själv och därmed tillhandahålla information till utomstående.

    • Om vi mot förmodan skulle ha diskussioner, rättsliga ärenden eller anspråk där du är involverad behöver vi även behandla dina personuppgifter för att hantera ärendet, t.ex. besvara dina frågor samt hantera eventuella klagomål eller rättsliga anspråk

    Vi raderar kommunikation med dig som är kund, representerar en organisation som är kund, leverantör eller potentiell kund regelbundet. Personuppgifter som behandlas för att besvara dina frågor och hantera aktuellt ärende behandlas så länge som krävs för att besvara frågan och hantera ärendet.

    Kommentarer och kommunikation på sociala medier kan du själv radera när du vill. Vi kommer att radera poster och kommentarer som strider mot plattformens regler eller lag.
    Rättslig grund:

    • Behandlingen är nödvändig av vårt berättigade intresse att kunna kommunicera med dig och besvara dina frågor samt hantera klagomål och kunna försvara oss mot eller initiera eventuellt rättsligt anspråk (en så kallad intresseavvägning enligt artikel 6.1.f i GDPR).
    • Enligt lag måste vi i vissa fall behandla dina personuppgifter, exempelvis om du använder någon av dina rättigheter enligt GDPR samt enligt konsumenträttslig lagstiftning. Viss personuppgiftsbehandling är alltså nödvändig för att fullgöra en rättslig förpliktelse (artikel 6.1.c i GDPR). Du kan behöva tillhandahålla oss vissa personuppgifter för att vi ska kunna fullgöra våra rättsliga förpliktelser.

     

    Intresseavvägningar

    För vissa ändamål behandlar vi dina personuppgifter med stöd av en intresseavvägning som laglig grund för behandlingen. I intresseavvägningen har vi bedömt att vårt berättigade intresse att utföra behandlingen väger tyngre än ditt intresse och dina grundläggande rättigheter att inte få dina personuppgifter behandlade. Vad som är vårt berättigade intresse framgår i tabellerna ovan. Kontakta oss om du vill ha detaljerad information om de intresseavvägningar som vi har gjort.

    Vem får tillgång till dina personuppgifter?

    Dina personuppgifter behandlas som utgångspunkt endast av oss på Svenska Mässan. Vi samarbetar dock med andra företag och organisationer som får ta del av dina personuppgifter om det är nödvändigt för att fullgöra våra åtaganden gentemot dig som besökare.
    Vi delar dina personuppgifter med IT-leverantörer som endast behandlar personuppgifter på vårt uppdrag för att bistå oss tekniskt, exempelvis det system vi använder för att hantera bokningar/anmälningar, för att skanna biljetter och för vårt hotellsystem. Vi ingår avtal för att reglera hur dessa IT-leverantörer får behandla dina personuppgifter på våra instruktioner.
    Dessutom delar vi dina personuppgifter enligt följande:

    • Om du deltar i ett event som vi på Svenska Mässan ordnar ihop med Sweden MEETX AB delas dina personuppgifter med Sweden MEETX AB för att vi ska kunna ordna och marknadsföra eventet. Sweden MEETX AB är precis som Svenska Mässan Gothia Towers en del av Svenska Mässan Stiftelse och när vi ordnar event agerar vi tillsammans som gemensamt personuppgiftsansvariga för behandlingen av dina personuppgifter. Om du har några frågor om vår personuppgiftsbehandling eller vill utöva dina rättigheter är du alltid välkommen att kontakta oss.
    • Om du deltar på ett event som samägs av Svenska Mässan och annan part kan personuppgifterna hanteras av denna part som i sådana fall också behandlar dina personuppgifter för att genomföra eventet. Detta framgår av respektive events hemsida. För denna typ av event är vi gemensamt personuppgiftsansvariga för behandlingen av dina personuppgifter. Om du har några frågor om vår personuppgiftsbehandling eller vill utöva dina rättigheter är du alltid välkommen att kontakta oss.
    • Om du betalar via faktura delar vi dina personuppgifter med den externa parten vi använder för att hantera fakturabetalningar.
    • Om du deltar i ett av våra event delar vi dina kontaktuppgifter med ett externt undersökningsföretag som gör undersökningarna enligt våra instruktioner. Delningen görs för att du ska kunna lämna omdömen om dina upplevelser.
    • Om du har lämnat ditt samtycke delar vi dina personuppgifter med den partner som är med och ordnar eventet för att vår partner ska kunna skicka intressanta erbjudanden och marknadsföring till dig vilket i så fall framgår vid registreringstillfället.
    • Om du syns på bilder/filmer eller hörs på ljudupptagningar från ett event delas bilderna, filmerna och ljudinspelningarna med utställare och partners i de fall du har samtyckt till det. Översiktsbilder kan delas med utställare och partners utan ditt samtycke, samt publiceras på hemsidan, i tryckta produkter och i sociala medier.
    • Om du besöker Upper House eller Gothia Towers kommer vi att hämta dina personuppgifter från SPAR Sveriges befolkningsregister som ger oss korrekta och uppdaterade uppgifter om dig. Det gör vi för att det annars i princip är omöjligt för oss att hantera så många gäster som checkar in samtidigt.
    • Om du använder en rabattkod vid anmälan till event som du har fått från en utställare eller en partner kommer vi att dela dina kontaktuppgifter, såsom din postadress, mailadress och mobilnummer, med den utställare eller partner som du har fått rabattkoden från. Delningen görs för att vi ska kunna reglera ersättningen med utställaren/partnern.
    • Om du får våra mail behandlas dina personuppgifter av Lime/BizWizard. Vi använder oss av tjänsten Lime/BizWizard för att kunna skicka ut nyhetsbrev till dig på ett säkert och effektivt sätt. Lime/BizWizard agerar som vårt personuppgiftsbiträde, vilket innebär att de bara behandlar dina personuppgifter enligt våra instruktioner och på vårt uppdrag.

    Delar vi dina personuppgifter utanför EU/EES?

    Svenska Mässan behandlar som huvudregel dina personuppgifter inom EU/EES, men vi kan i vissa fall använda leverantörer utanför EU/EES. När vi överför personuppgifter utanför EU/EES görs detta endast om vi har en laglig grund för överföringen enligt GDPR.

    • När dina personuppgifter överförs utanför EU/EES till USA görs detta med stöd av så kallade adekvansbeslut från EU-kommissionen enligt artikel 4 i GDPR. Detta innebär att EU bedömt att ett visst land har ett adekvat skydd för dina personuppgifter. Till följd av detta har EU och USA ingått en överenskommelse som kallas EU-US Data Privacy Framework.
    • För mottagare som inte är certifierade enligt EU-US Data Privacy Framework kan vi överföra dina personuppgifter utanför EU/EES med stöd av standardiserade dataskyddsbestämmelser som har antagits av EU-kommissionen. Vi kan även överföra dina personuppgifter till ett land som EU-kommissionen har bedömt har en adekvat skyddsnivå för behandling av personuppgifter.

    Vi har minimerat den information som de externa parterna får tillgång till och har vidtagit flera åtgärder för att minska riskerna att dina personuppgifter överförs utanför EU/EES – allt för att det ska vara så svårt som möjligt för någon utanför EU/EES att förstå vilka personuppgifter det handlar om.

    Vilka rättigheter har du att påverka hur vi behandlar dina personuppgifter?

    I enlighet med GDPR har du vissa rättigheter – se mer information här nedan. Om du har några frågor om rättigheterna eller vill använda någon av dina rättigheter är du välkommen att kontakta oss på kontaktuppgifterna ovan. Hos Integritetsskyddsmyndigheten hittar du också mer detaljerad information om när dina rättigheter gäller och vilka undantag som finns.

  • Rätt att klaga – Artikel 77 i GDPR: Du har rätt att lämna klagomål till behörig tillsynsmyndighet om du anser att behandlingen av dina personuppgifter strider mot GDPR. I Sverige är behörig tillsynsmyndighet Integritetsskyddsmyndigheten.
  • Rätt att återkalla samtycke – Artikel 7.3 i GDPR: Du har rätt att när som helst återkalla ditt samtycke genom att kontakta oss.
  • Rätt till tillgång (”rätten till registerutdrag”) – Artikel 15 i GDPR: Du har rätt att få en bekräftelse på om vi behandlar dina personuppgifter eller inte. Du kan skicka en förfrågan genom att kontakta oss. Om vi behandlar dina personuppgifter har du även rätt att få en kopia av personuppgifterna vi behandlar samt information om behandlingen, t.ex. ändamålen med behandlingen och hur länge uppgifterna sparas.
  • Rätt att göra invändningar – Artikel 21 i GDPR: Du har rätt att när som helst invända mot att dina personuppgifter behandlas för direkt marknadsföring (inklusive eventuell profilering) och mot behandling av dina personuppgifter som grundar sig på en intresseavvägning (inklusive eventuell profilering).
  • Rätt till rättelse – Artikel 16 i GDPR: Du har rätt att utan onödigt dröjsmål få felaktiga personuppgifter som rör dig rättade. Du har även rätt att komplettera ofullständiga personuppgifter.
  • Rätt till radering (”rätten att bli bortglömd”) – Artikel 17 i GDPR: Du har under vissa förutsättningar rätt att utan onödigt dröjsmål få dina personuppgifter raderade av oss. Exempelvis om du återkallar ditt samtycke och det inte finns någon annan rättslig grund för behandlingen eller om personuppgifterna inte längre är nödvändiga för de ändamål som de har samlats eller behandlats för.
  • Rätt till begränsning av behandling – Artikel 18 i GDPR: Du har under vissa förutsättningar rätt att kräva att vi begränsar vår behandling av dina personuppgifter. Exempelvis om du bestrider uppgifternas riktighet, eller om behandlingen är olaglig och du motsätter dig att personuppgifterna raderas utan istället begär en begränsning av uppgifternas användning.
  • Rätt till dataportabilitet – Artikel 20 i GDPR: Om vi behandlar dina personuppgifter med stöd av ditt samtycke eller för att fullgöra ett avtal har du rätt att få ut de personuppgifter som rör dig. Rätten gäller för uppgifter som du har lämnat till oss i ett strukturerat, allmänt använt och maskinläsbart format. Du har även rätt att överföra dessa personuppgifter till en annan personuppgiftsansvarig, när det är tekniskt möjligt.

    Svenska Mässan Gothia Towers strävar alltid efter att vara en tillgänglig och inkluderande mötesplats för alla.     Att resa till oss 

    Vår placering centralt vid Korsvägen gör det lätt att ta sig till oss, oavsett om du reser med bil, buss, spårvagn eller på annat sätt.

    Tillgänglig parkering

    Du hittar sk. handikapplatser för korttidsparkering utanför hotellentrén (2 timmar) och utmed Skånegatan (4 timmar). Vi erbjuder också parkeringsservice till våra gäster för långtidsparkering.

    Mer tillgängliga toaletter

    Tillgängliga toaletter hittar du runt om i vårt hus: i hotellobbyn, vid restaurang Corner, i entré åtta och två, samt i kongressgången, expohallen och marmorgången. För dig som är ny i huset – bara fråga oss, så visar vi gärna!

    Behov av assistans, ledsagare, och ledhund 

    Assistent, ledsagare, tecken- eller syntolk som du behöver för att besöka oss går in utan kostnad – kom direkt till oss i informationsdisken vid vår huvudentré (entré 5). Självklart välkomnar vi ledhundar i våra lokaler. För hotellbesök behöver du dock boka ett av våra hundrum.

    För dig som är allergiker

    Observera att vi en djurvänlig anläggning, och att till exempel hundar kan komma att röra sig i lokalerna. Vi erbjuder rök- och hundfria rum. För matallergi, se Restaurang.

    Hotell 

    Tre torn, två förstklassiga hotell, en gemensam vision: att, om än bara för ett litet tag, vara ett hem åt människor från människor från hela världen som vill ha en hotellupplevelse utöver det vanliga.

    Tillgänglighetsrum 

    Våra tillgänglighetsanpassade rum har större golvyta för bättre rörlighet och badrum anpassade för rull- eller toalettstol. Det finns möjlighet till access mot angränsande rum. (Observera att badrummet inte är anpassat för permobil, utan stolsbyte krävs).

    Tillgänglighetssvit

    Vi har en fullt tillgänglighetsanpassad svit, med höj och sänkbar säng, automatisk dörröppning, fjärrkontrollstyrda gardiner, nivåanpassade garderober och bäddsoffa i angränsande rum. Badrummets storlek ger möjlighet att komplettera med mobil lift – boka när du reserverar rummet. Fast stol finns i duschen, och mobil duschstol som komplement.

    Rum för (ledar)hund

    För dig som behöver en ledarhund är den självklart välkommen, vi är dessutom ett hundvänligt hotell, men med allergiker i minne har vi speciella hundrum att boka.

    Rök- och hundfria rum 

    För dig som är allergiker finns hundfria rum, och alla våra rum är naturligtvis rökfria. Observera att vi är en djurvänlig anläggning, och att djur kan röra sig i anläggningen.

    Hjälpmedel 

    Om du har behov av brandlarm för hörselnedsatta och/eller mobil lift i ditt rum, bokar du det samtidigt som du bokar ditt rum. Ring oss gärna, så hjälper vi dig! Rullstolar finns att låna via vår Guest Service.

    Hos oss hittar du ett antal välkomnande restauranger och caféer med olika smakprofiler och känsla – dessutom Sveriges kanske mest kända räkmacka och Göteborgs, och därför kanske världens, bästa utsikt.

    Mässor och möten 

    Med verksamheter där miljön är ständigt föränderlig och så många människor sammanstrålar vet vi att samma förutsättningar som gör att vi kan bygga så många olika upplevelser, skapar miljöer som kan vara utmanande: de är nya, varje gång.

    Vi arbetar tillsammans med våra kunder för att skapa bästa möjliga mässa eller konferens för deltagare och besökare, och samlar ständigt på oss kunskap och erfarenheter så att vi bli bättre, tillsammans.

    Hjälpmedel

    Vi har salar och konferensrum med hörslingor i olika storlekar: Vår största åhörarlokal, K-hallen, som tar in 1500 personer, har ett hörslingesystem som täcker 40% av åhörarplatserna. Kompletta hörslingesystem med fasta slingor finns i de mellanstora salarna J1 och J2 (hörslingan täcker inte scenposition) och i rum R2, R17 och R 18 (täcker även scenposition). Sal H1 och H2 har system som täcker hela lokalerna, utan begränsningsslinga. Scenposition är inte inkluderat. Alla salar ligger i anslutning till våra stora mässhallar. Vi kan även erbjuda mobila lösningar vid behov, som utställare och arrangör på vår mötesplats tar du kontakt med After Sales vid behov av en sådan lösning.

    Tillgänglighetsanpassade scener

    I vår strävan efter att skapa de bästa mässupplevelserna för alla våra besökare, implementerar vi kontinuerligt olika åtgärder för att främja tillgänglighet och inkludering. Svenska Mässan Gothia Towers tillgänglighetsanpassar scener med inbyggda ramper på våra mässgolv och i konferenslokaler. Det innebär att evenemang och mässor som arrangeras på Svenska Mässan blir mer tillgängliga för alla. För dig som arrangör innebär det en kvalitetssäkring av ditt arrangemang hos oss. Är du utställare på någon av våra mässor ansvarar du som utställare själv för att tillgänglighetsanpassa din monter, i kontakt med After Sales kan du få råd om hur du exempelvis kan tillgänglighetsanpassa en scen i montern.

    How and why do we process your personal data?

    We gather and process your personal data when you make or carry out a booking, enquiry, registration or purchase with us. We also gather data from third parties about you in your capacity as a representative of your professional role when we believe that you may have an interest in our operations.

    Balancing of interests

    For certain purposes, we process your personal data with the support of a balancing of interests as the legal basis for processing. When carrying out such a balancing of interests, we have assessed our legitimate interest in carrying out processing outbalances your interests and your basic rights not to have your personal data processed.     Do we share your personal data outside the EU/EEA?

    As a general rule, SMGT processes your personal data within the EU/EEA, but may in certain cases use suppliers outside the EU/EEA. When we transfer personal data outside the EU/EEA, this is only done if we have a legal basis for the transfer in accordance with applicable legislation and regulations for data protection.  We can also transfer your personal data to a country that the European Commission has assessed as having an adequate level of protection for processing personal data.

    Clearing and updating our database

    It is import for us to have an accurate database, and we use resources such as:

    • Clearing and updating the database on an ongoing basis.
    • Removing e-mail addresses that bounce back and updating registers following postal mailing returns.
    • We also have a link to our database supplier to maintain up-to-date information.

    What are your rights to influence how we process your personal data?

    When we process your personal data, you have certain rights e.g. to access the data we process or to have data deleted. These rights are described in detail below.     Revoking your consent

    If processing is based on your consent, for example if you have consented to receive marketing from SMGT for a longer period than stated in the tables above, you have the right to revoke this consent in full or in part at any time. However, revoking your consent will have no effect on our processing of your personal data for the period before revocation occurred.

    Right to access

    You have the right to receive confirmation of whether personal data that relates to you is processed by SMGT and access to information about how this personal information is processed, e.g. the purpose of processing and which categories of personal data this processing relates to.     Right to correction

    You also have the right to have incorrect personal data corrected and supplemented without unnecessary delay.

    If you receive newsletters from SMGT, you can edit data, state which newsletters you want to receive and unsubscribe by logging in to your account or via the deregistration link in the newsletter.

    Right to deletion (the right to be forgotten)

    Under certain circumstances, you have the right to request that your personal data is deleted. Such circumstances exist if:

    • The personal data is no longer necessary for the purposes for which it was gathered or processed,
    • If you revoke your consent on which the processing is based and there are no other legal grounds for processing,
    • If you object to processing and there is no legitimate reason to continue processing that carries greater weight,
    • When personal data has been processed illegally, or
    • If personal data must be deleted to fulfil a legal obligation by which SMGT is covered.

    Right to restriction of processing

    Under certain circumstances, you have the right to request that the processing of your personal data is restricted. This right exists if:

    • You refute the accuracy of the data (although only during a period that gives us the opportunity to check this),
    • Processing is illegal and you oppose the deletion of the personal data, requesting instead that the use of the data should be restricted,
    • You need the personal data to assert or defend legal claims despite the fact that we no longer need the personal data for our processing purposes, or
    • You have objected to processing and we have not carried out a check of whether our legitimate interest in processing your personal data outweighs your legitimate reason for processing your personal data being restricted.

    Right to object to processing

    You have the right to object at any time to the processing of your personal data that is based on a balancing of interests. However, this does not apply if we can demonstrate a binding legitimate reason for processing that outweighs this, or if it is processed for establishing, exercising or defending legal claims.

    You also have the right to object to your personal data being processed for marketing purposes (e.g. sending out invitations and offers). If you object to marketing, your personal data will no longer be processed for such purposes.

    Right to register complaints

    You have the right to submit complaints to a competent supervisory authority (without this affecting any other administrative review procedure or legal remedy). Such complaints can ideally be submitted to the authority in the EU/EEA member state where you normally reside, where you work or where it is claimed that applicable data protection legislation and regulations have been breached. The competent supervisory authority in Sweden is the Swedish Data Inspection Board.

    Right to data portability

    Under certain circumstances, you have the right to receive an extract of the personal data relating to you that you have submitted to us in a structured, widely used and machine-readable format, and have the right to transfer this to another personal data controller (data portability), e.g. if you want to transfer your contact details to a third party. The right to data portability exists when:

    • The processing is based on your consent or an agreement, and
    • The processing is automated.

    You have the right to have personal data transferred direct from us to another personal data controller where this is technically possible.
